Precision, Precision, Precision.
Memorandums, meeting requests and staff summary sheets may seem like mundane everyday activities to the rest of the world, but for anyone seeking correspondence, it's nearly an exact science.
Bob Sandlin, 72nd Air Base Wing executive officer, hosted an hour long administrative training refresher course.
The training course covered the proper formats for event briefs, suspense processes, items of information and signature elements among other things.
"The idea is to make things easier for our action officers to staff correspondence through the command section," Mr. Sandlin said.
Chaniece Harkey, executive secretary to 72nd Air Base Wing Commander Col. Mark Correll, said refresher courses like this are important because it is up to the administrative assistants to perform duties that give co-workers and supervisors the best possible support.
"It is not enough to have something prepared or easy to read or understand, it must be perfect," said Ms. Harkey. "We promote this philosophy and expect perfection and we pride ourselves on giving it."
Mr. Sandlin said some common staff summary sheet errors include lack of coordination through required offices, tabs not marked or referenced in body and unclear discussion.
Common errors for memorandums include incorrect spacing, incorrect distribution lines and the memo being dated before the commander or vice-commander signs it.
Robyn Crowder, Sexual Assault Prevention and Response program assistant, said the session was very helpful and she is now prepared to execute any correspondence with more precision.
Mr. Sandlin said doing things correctly the first time will save time and help with the frustration of correspondence being sent back from the command section for corrections.
